Book a Study Space

Bookable spaces in Birmingham Newman University Library

We have 5 bookable spaces that are perfect for collaborative work or practicing your group presentations.

Group Study Pods

Location: Our two bookable air-conditioned pods are on level 0 and level 1 of the Library.

Equipment: Screen and HDMI cables so you can plug your laptop or other devices in to collaborate on documents or practice presentations, etc. Both pods have power outlets for your devices.

Capacity: Pods are suitable for groups of up to 6 and are wheelchair accessible.

Exchange Meeting Rooms

The Exchange is our new collaborative working space on Level 2. It has a Learning Zone with mixed seating and three meeting rooms, two of which you can book in advance.

Location: Meeting Rooms A and B are in The Exchange (CH212) on Level 2 of the Library.

Equipment: Whiteboards for collaborative thinking and ideas generation (pens not included!). All rooms have power sockets for laptops and other devices.

Capacity: Meeting Rooms are suitable for groups of up to 4 and are wheelchair accessible.

Availability

Bookable study spaces are only available during Library opening times. They are available on a first-come, first-served basis.

Study spaces are only available to students. Staff should not book these spaces.

How to Book

Bookings are made on a first come, first served basis. You may book up to two weeks in advance.

The system will give you the maximum booking (3 hours or the next booking, whichever is earlier). If you do not need this amount of time, please help others by only booking what you need.

  1. Click on 'Group Study Pod' for the pods on Level 0 or level 1, or on 'Exchange Meeting Rooms' to book Meeting Room A or Meeting Room B in The Exchange on Level 2.
  2. The page will display today's bookings. If you wish to book for another date, choose this by using the "Go to date" button, or by navigating using the arrow buttons.
  3. Click the time you would like your booking to start.
  4. Select the end time for your booking from the drop-down menu that appears underneath.
  5. Click 'Submit times'.
  6. You will be taken to a page with your booking details and the terms and conditions of the Book a Study Space service. Click 'Continue' to accept the terms and conditions.
  7. Fill in the form on the next page with your full name and your Birmingham Newman email address.
  8. Click 'Submit my booking'. You will receive an email with the booking details and a booking reference.
  9. Come to the Library at your booked time and settle down to work!

Terms and Conditions

These terms and conditions should be read alongside the Library's general policies and regulations.

You must follow the terms and conditions below if you want to use the Book a Study Space service:

  1. Book a Study Space is available only when the Library is open.
  2. You can book for a minimum of 30 minutes and a maximum of 3 hours. Please only book the space for the time you need, so other students can access our study spaces.

Frequently Asked Questions

Of course! During staffed hours, you can come to the Service Desk on level 1 or contact us by phone or email if you are not on campus. We will be happy to help you book a space.

Outside of staffed hours, you will only be able to use the self-service booking system.

If you are no longer able to attend your pre-booked study space, please cancel your booking to allow another user to book.

You can cancel your booking by clicking the link in your confirmation email and then clicking 'cancel booking' next to the booking you would like to cancel.

If you re unable to locate your confirmation email, please email library@newman.ac.uk or speak to a member of staff on the Service Desk.

Yes! During your visit you can leave your seat, and make use of all of the Library's facilities. However, you should still take care of your personal belongings. Do not leave valuables unattended, and if you are going to be away for longer than a few minutes, we recommend that you take all of your belongings with you.

If you find someone sitting in your booked seat, you can approach them and politely request to move out of the space so you can use it. However, before you do this, it is worth double checking the time and space that you have booked, just to make sure you haven't made a mistake.

If you don't feel comfortable doing this, or you encounter any issues, then you can ask a member of staff to help you during staffed hours.

You will need to observe the following rules if you want to use video conferencing apps in the Library:

  2. If you will be speaking, you must use level 1 of the Library only
  3.     
  4. You must bring and use your own headphones for the session
  5.     
  6. Respect the privacy of other people in your meeting and in the Library when you use a camera or microphone
  7.     
  8. Be aware of the volume of your voice and talk as quietly as possible
  9.     
  10. Mute your microphone (and camera, if reasonable) when you are not actively taking part.

We may ask you to stop using video conferencing apps or move to a different area if it is causing a disturbance to other Library users.

Yes! You do not need to book a space for group study unless you wish to use a group study pod or booth, in which case it is strongly recommended that you use the Book a Study Space service to book in advance. Bookings can be made up to two weeks in advance.

Please respect the noise policies of the study zone you are in when you are working in a group. This means, in Quiet Zones, you keep voices to a minimum. No group work is allowed in our Silent Zones.
