Borrowing from the library for staff - how many, how long, how to renew and reserve and all about overdues and fines

How many books can I borrow and how long can I borrow them for?

As a member of staff you can borrow up to 30 items.

Loan periods:

  • Standard loans - 1 week
  • School Experience Collection - 6 weeks

How do I borrow and return books?

You can use Library Search to look for the items you need, we also have Library Search terminals located on each floor of the library. Once you've found the items you need, use one of our self-service kiosks located on floors 1 and 2, to borrow your books. If you need any help, come and see us at the Library Service Desk.

You can return items to the library using the book returns box located just outside the main library doors. You can also return the items using our self-service kiosks inside the library.

Renewing books

Usually, the library will automatically renew your loans for you at 7am on the date they are due back.

Main collection items will renew automatically up to 26 times,

School Experience Collection items will renew automatically once.

Laptops cannot be renewed - we need to allow time for the batteries to charge.

Inter-library loans cannot be automatically renewed, however we may be able to manually renew these books for you – check our inter-library loan page for the limits of this.

What do I need to do?

If your loans have automatically renewed:

  • you don't need to do anything!  If they renew successfully, you will not hear from us. We'll carry on trying to automatically renew your loans until you reach the maximum number of renewals allowed, or your library account expires.

If your loans have not automatically renewed, it may be because:

  • someone has reserved one of your loans. You will need to bring the item(s) back otherwise you will be fined. 
  • there's a problem with your library account. If you think this is the case, please contact us. Unless we confirm otherwise, your loans will still be due back on their existing due date.

If they do not renew, you will receive an email from saying that you have 7 days to return the item(s) free of charge.

Fines and overdue items

We only charge fines for items we've not been able to automatically renew, which then become overdue if they've not been returned. This helps everyone get access to books.

Our fines are:

We send an email on the day your item is due back if it has not renewed. We also send 2 further emails reminding you to bring the item back within 7 days in order to avoid fines. If you don’t receive it, you are still responsible for returning items on time and for any fines. 

Get in touch with us to discuss your overdues, fines and other charges if you are finding it difficult to get into the library to return your books or you are in financial difficulty.

We send you reminders about overdues to your Newman email address. If you still haven’t returned your overdue items within 5 weeks, we will send you a letter.

Our last resort is to refer you to a debt collection agency.


Is the item you want on loan? You can reserve it using Library Search.

You can make up to 5 reservations at one time.

We email your Newman email address when your reserved item is available.

If there is a queue of other people who have also reserved the item, we just loan it to you for a week.

You can cancel a reservation using your account on Library Search or ask us to cancel it for you.

Postal loans

You can ask us to send you some books within the UK by post using our Postal loan request form. Please email your completed form to us.

We charge £7.50 for each request (you can have up to 4 books per request) to cover postage and packing. You can pay over the phone using a credit or debit card and we will start on your request as soon as we have your completed form and payment.

We do not post:

  • books available as e-books

  • inter-library loans

  • reference materials

  • School Experience artefacts

The items:

  • are your responsibility as soon as they are loaned to your borrower account.

  • should reach you within 2 days. We will let you know about any delays in sending them. If you have not received them within 3 days, please contact us.

  • are sent recorded delivery, so you will need to sign for the parcel.

You can return items in person or by recorded delivery post, but you will receive fines if they arrive with us after the due date.
